BeatenTrack Community

Privacy Policy

Last updated: 3 November 2026

This policy explains what personal information the BeatenTrack Community (community.beatentrack.me) collects, why, and what your rights are. The community is run by BeatenTrack Studio, the rehearsal studio behind beatentrack.me.

1. Who we are

The data controller is BeatenTrack Studio, 166 Windham Road, Bournemouth BH1 4RA.
Contact for anything privacy-related: support@beatentrack.me.

2. What we collect

  • Account details – username, name, email address, password (stored encrypted), date of birth and gender if you give them.
  • Sign in with Google or Facebook – if you use these, we receive your name, email address and profile picture from that service. We never see your Google or Facebook password and we don't post anything on your behalf.
  • Your profile and content – photos, bio, posts, comments, music, videos, group and event activity, and anything else you choose to share.
  • Messages – private messages you send through the community are stored so they can be delivered and shown to you and the people you message.
  • Verification documents – only if you request a verified badge, we may ask for a photo of you and an identity document. These are used only to check the request and are deleted once it has been decided.
  • Technical information – IP address, browser and device type, login times and cookies needed to keep you signed in and keep the site secure.
  • Reports and support messages – if you report content or contact us.

3. Why we use it (and our lawful basis)

  • To run your account and the community – creating your profile, showing your posts, delivering messages and notifications. Basis: contract (providing the service you signed up for).
  • To keep the community safe – preventing spam, fraud and abuse, moderating content, handling reports and complying with the Online Safety Act. Basis: legitimate interests and legal obligation.
  • To improve the site – understanding which features get used. Basis: legitimate interests.
  • Newsletters and studio news – only if you tick the box to receive them. You can unsubscribe at any time. Basis: consent.
  • Verification – checking that a verified badge request is genuine. Basis: consent.

We do not sell your personal information and we do not use it for third-party advertising.

4. What other members can see

Your username, profile picture and anything you post publicly can be seen by other members and, depending on your privacy settings, by visitors who are not signed in. You can change who sees your profile and posts in Settings › Privacy.

5. Who we share it with

We only share personal information with services that help us run the community:

  • IONOS – hosts the website and its database. Data is stored on servers in the UK.
  • Google and Meta (Facebook) – only if you choose to sign in with them.
  • Google Fonts – the site loads its fonts from Google, which receives your IP address when a page loads.
  • Law enforcement or regulators – only where the law requires it, or to protect someone from harm.

Where a provider processes data outside the UK, we rely on UK adequacy regulations or the UK International Data Transfer Agreement/Addendum to protect it.

6. Cookies

We use essential cookies to keep you signed in, remember your settings (such as day/night mode and language) and protect the site. These are needed for the site to work. If we add optional cookies, such as analytics, we will ask for your consent first.

7. How long we keep it

  • Your account and content – while your account is open. When you delete your account, your profile and content are removed straight away. Backups are cleared within 30 days.
  • Verification documents – deleted once your request has been decided.
  • Security logs – up to 90 days.
  • Reports and moderation records – for as long as needed to deal with the issue and any repeat problems, normally no more than 2 years.

8. Your rights

Under UK data protection law you can:

  • get a copy of your data,
  • correct anything that's wrong,
  • have your data deleted,
  • object to or restrict how we use it,
  • take your data elsewhere,
  • withdraw consent at any time (for example, newsletters).

Most of this you can do yourself:

  • Download your data: Settings › Download Your Information
  • Edit your details: Settings › Profile and Settings › Account
  • Delete your account: Settings › Delete Account

For anything else, email support@beatentrack.me. We'll reply within one month.

If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk. We'd appreciate the chance to sort it out first.

9. Deleting your data (including Facebook and Google sign-in)

To delete your account and everything linked to it:

  1. Sign in at community.beatentrack.me.
  2. Go to Settings › Delete Account and confirm.

This removes your profile, posts, photos, messages and any data received from Facebook or Google. If you can't sign in, email support@beatentrack.me from the email address on your account and we'll delete it for you within 30 days.

You can also remove our access from your Facebook account under Settings & privacy › Settings › Apps and websites, or from your Google account at myaccount.google.com/connections.

10. Children

You must be at least 13 to join. If you're under 18, please make sure a parent or guardian is happy for you to use the community. If we learn that someone under 13 has signed up, we will delete their account.

11. Security

The site uses HTTPS, passwords are stored encrypted, and admin access is restricted. No website can be 100% secure, so please use a strong password that you don't use anywhere else.

12. Changes to this policy

If we make important changes, we'll post a notice in the community or email you. The date at the top of this page shows when it was last updated.
